These Terms and Conditions govern the use of the TravelX website and all travel services booked through TravelX.

Please read them carefully before making a booking. By submitting a booking request, confirming a quotation, making a payment or selecting the acceptance checkbox during checkout, you confirm that you have read, understood and accepted these Terms and Conditions on behalf of yourself and all travellers included in the booking.

In these Terms, “TravelX”, “we”, “us” and “our” refer to Hilal Biz LLC. “Customer”, “you” and “traveller” refer to the person making the booking and every person included in that booking.

TravelX arranges private and group tours, excursions, transportation, airport transfers, accommodation, train and other transport tickets, guides, entrance tickets, meals, permits and customised travel packages in Uzbekistan and other Central Asian destinations.

Depending on the service, TravelX may act as the tour organiser, direct service provider or booking agent for an independent supplier.

2. Scope of the agreement

Your contract with TravelX consists of:

  1. these Terms and Conditions;
  2. the tour description or product page;
  3. your quotation, itinerary or booking confirmation;
  4. any special cancellation or payment conditions communicated before payment; and
  5. written changes subsequently agreed between you and TravelX.

Where a booking confirmation or quotation contains conditions that differ from these general Terms, the conditions stated in the booking confirmation or quotation will apply to that particular booking.

Bookings made through Viator, Tripadvisor, Bókun, GetYourGuide, Klook or another third-party platform may also be subject to that platform’s payment and cancellation rules.

3. Booking process

A website enquiry or booking request is not automatically a confirmed booking.

A booking becomes confirmed when:

  • TravelX sends written confirmation;
  • the required deposit or full payment has been received; and
  • the requested services have been confirmed by the relevant suppliers.

Availability displayed on the website may change before payment and final confirmation.

The person making the booking must be at least 18 years old and must have authority to accept these Terms on behalf of every traveller included in the booking.

You are responsible for ensuring that all names, dates, passport information, contact information and other booking details are accurate. Names submitted for train, flight, hotel or permit reservations must match the traveller’s passport or travel document.

TravelX is not responsible for costs resulting from incorrect information supplied by the customer.

4. Prices

The price and included services will be stated on the product page, quotation, invoice or booking confirmation.

Unless expressly stated otherwise, prices do not include:

  • international or domestic flights;
  • visas or consular charges;
  • travel insurance;
  • personal expenses;
  • optional activities;
  • meals and entrance fees not listed as included;
  • luggage fees;
  • bank or currency-conversion charges;
  • tips and gratuities; or
  • services requested during the trip that were not included in the confirmed itinerary.

A quotation is valid only for the period stated in the quotation. Before confirmation, prices may change because of availability, supplier rates, exchange-rate movements, government charges or changes requested by the customer.

Once a booking has been confirmed, TravelX will not increase the confirmed price except where the customer requests a change or where an additional government tax, permit fee or mandatory charge is introduced. Any material increase will be communicated before the relevant service is provided, and the customer will retain any cancellation rights required by applicable law.

5. Payments

The required deposit, balance and payment deadline will be shown during checkout or in the quotation, invoice or booking confirmation.

TravelX may accept payment through:

  • online card payment;
  • bank transfer;
  • approved payment service providers;
  • cash where expressly agreed; or
  • another method stated in the booking confirmation.

Card and electronic payments may be processed by independent payment providers under their own terms and security procedures.

The customer is responsible for bank fees, card charges and currency-conversion costs unless TravelX expressly agrees otherwise.

Failure to pay the required amount by the stated deadline may result in cancellation of the booking. TravelX will make reasonable efforts to contact the customer before cancelling a confirmed booking for non-payment.

6. Deposits and non-refundable services

Some services require advance payment to hotels, railway companies, airlines, guides, transport providers, permit authorities or other suppliers.

The following may become non-refundable once reserved or issued:

  • train and flight tickets;
  • visa support and permit fees;
  • museum and attraction tickets;
  • special event tickets;
  • accommodation deposits;
  • yurt camps and remote guesthouses;
  • group-tour reservations;
  • specially arranged vehicles or guides; and
  • other services identified as non-refundable before confirmation.

TravelX will disclose material non-refundable conditions before payment whenever reasonably possible.

A deposit is not automatically fully refundable if TravelX has already made non-recoverable payments or commitments for the booking.

7. Customer cancellations

All cancellation requests must be sent in writing by email, WhatsApp or the booking platform through which the reservation was made.

The cancellation date is the date on which TravelX receives the written request.

Product-specific cancellation conditions shown on the product page, quotation, voucher or booking confirmation take priority over the general policy below.

Where no separate cancellation policy has been provided, the following default conditions apply.

7.1 Day tours, transfers and guide services

For cancellation received:

  • 72 hours or more before departure: refund of the amount paid, less any disclosed and non-recoverable third-party costs;
  • between 24 and 72 hours before departure: up to 50% of the total booking price is refundable;
  • less than 24 hours before departure: non-refundable; and
  • after departure or in case of a no-show: non-refundable.

7.2 Multi-day tours and customised travel packages

For cancellation received:

  • 30 days or more before departure: refund of the amount paid, less documented non-recoverable supplier and payment costs;
  • 15–29 days before departure: up to 70% of the total booking price is refundable;
  • 7–14 days before departure: up to 50% of the total booking price is refundable;
  • less than seven days before departure: non-refundable; and
  • after departure or in case of a no-show: non-refundable.

Non-refundable tickets, permits, accommodation deposits and other services disclosed before confirmation may be deducted from any refund.

Where required by applicable consumer law, the customer’s mandatory statutory rights will take priority over this cancellation policy.

8. Changes requested by the customer

Requests to change dates, travellers, accommodation, vehicle type, route or other confirmed arrangements must be made in writing.

TravelX will try to accommodate the request but cannot guarantee that a change will be possible.

The customer must pay:

  • any difference in the new service price;
  • supplier amendment or cancellation charges;
  • the cost of replacing issued tickets or permits; and
  • other reasonable expenses caused by the requested change.

Changing the travel date may be treated as a cancellation and new booking when the original suppliers do not permit amendments.

Unused services are not refundable when the customer voluntarily changes the programme after the tour has begun.

9. Changes or cancellations by TravelX

Travel itineraries may be affected by weather, floods, landslides, road conditions, railway or flight schedules, border procedures, government restrictions, attraction closures, safety concerns or other operational circumstances.

TravelX may change the order, route, timing, vehicle, accommodation or supplier where reasonably necessary. Where possible, an alternative of a similar standard will be provided.

A change in the order of sightseeing stops that does not materially reduce the confirmed service is not considered a significant change.

If TravelX must make a significant change before departure, the customer will be offered, where reasonably available:

  • acceptance of the revised arrangements;
  • an alternative service or travel date;
  • account credit; or
  • a refund for the affected service, subject to applicable law and any recoverable or non-recoverable supplier payments.

TravelX may cancel a service where it cannot be operated safely, legally or practically. TravelX may also cancel a group departure where the required minimum number of participants is not reached, provided the customer is informed within the period required by applicable law or the specific booking conditions.

10. Force majeure

“Force majeure” means an event beyond the reasonable control of TravelX or its suppliers, including:

  • severe weather or natural disaster;
  • flood, avalanche, earthquake, fire or landslide;
  • epidemic, pandemic or public-health restriction;
  • war, armed conflict, terrorism or civil unrest;
  • border closure or government restriction;
  • strike or major transport disruption;
  • road closure;
  • failure of public utilities;
  • emergency action by authorities; or
  • another extraordinary and unavoidable event.

TravelX is not responsible for delay or failure caused by force majeure to the extent permitted by law.

TravelX will make reasonable efforts to assist affected customers, rearrange services or recover refundable amounts from suppliers. However, TravelX cannot guarantee reimbursement of money already paid to suppliers where those suppliers lawfully refuse a refund.

Additional accommodation, meals, transportation, medical services or repatriation required because of force majeure are normally the customer’s responsibility unless otherwise required by law or covered by the customer’s travel insurance.

11. Passports, visas and border requirements

Each traveller is responsible for obtaining and carrying:

  • a valid passport;
  • the correct visa or entry permission;
  • required transit documents;
  • permits required for restricted regions;
  • vaccination or health documents;
  • parental permission for minors where applicable; and
  • any other document required by the destination or transit country.

TravelX may provide general visa, border or entry information, but such information may change without notice. The customer should verify current requirements with the relevant embassy, consulate or government authority.

TravelX is not responsible where a traveller is refused boarding, entry, exit or border passage because of missing or invalid documents, prior immigration history, official decisions or circumstances personal to the traveller.

No refund is due for services missed because a traveller is refused entry or does not possess the required documents.

12. Health, mobility and fitness

Some TravelX services involve:

  • mountain roads;
  • high altitude;
  • hiking or trekking;
  • hot or cold weather;
  • long driving times;
  • rough or unpaved roads;
  • remote accommodation;
  • limited medical facilities; or
  • border crossings that may involve waiting and walking with luggage.

Customers must review the tour description and consider whether the service is suitable for their health, age, fitness and mobility.

Before confirmation, customers must inform TravelX of any medical condition, disability, reduced mobility, allergy, dietary need or other circumstance that may affect participation or require special arrangements.

TravelX will make reasonable efforts to assist but cannot guarantee that every location, vehicle, hotel or attraction will be accessible.

TravelX may refuse or discontinue participation where a traveller’s condition creates a serious risk to that traveller or others and the risk cannot reasonably be managed.

13. Travel insurance

Comprehensive travel insurance is strongly recommended for every traveller.

Insurance should, where appropriate, cover:

  • medical treatment and evacuation;
  • accident and personal injury;
  • trip cancellation or interruption;
  • missed connections and delays;
  • lost, stolen or damaged property;
  • mountain, trekking or adventure activities; and
  • emergency repatriation.

TravelX may require evidence of suitable insurance for particular mountain, trekking, horseback, Pamir Highway, desert or remote-region tours.

Failure to obtain insurance does not make TravelX responsible for losses that would otherwise have been covered by an appropriate policy.

14. Traveller conduct

Travellers must:

  • follow reasonable safety instructions from guides, drivers and instructors;
  • comply with the laws of each destination;

  • avoid damaging natural areas, cultural monuments and property;
  • arrive at meeting points on time;
  • avoid threatening, abusive or discriminatory behaviour; and
  • avoid conduct that places other travellers, staff or suppliers at risk.

TravelX may refuse or terminate a traveller’s participation where their behaviour is illegal, dangerous, abusive or seriously disruptive.

Where participation is terminated for such conduct, no refund will normally be provided, and the traveller will be responsible for resulting costs or damage.

15. Meeting times, delays and no-shows

Customers must provide a working telephone number and monitor email, WhatsApp or other agreed communication channels before and during the trip.

Customers must arrive at the confirmed meeting point at the stated time.

TravelX is not responsible for missed services caused by:

  • customer lateness;
  • an incorrect pickup location supplied by the customer;
  • failure to monitor messages;
  • delayed incoming transport not arranged by TravelX;
  • lengthy immigration or border procedures;
  • personal illness; or
  • other circumstances attributable to the customer.

Drivers and guides will wait for a reasonable period where operationally possible. Additional waiting time or replacement arrangements may incur extra charges.

16. Accommodation and transportation

Hotel classifications and service standards may differ between countries and regions.

Photographs are illustrative, and individual rooms, vehicles and views may differ from those shown.

TravelX may replace accommodation or transportation with a reasonably comparable alternative where the confirmed supplier becomes unavailable.

Customers are responsible for damage they cause to hotels, vehicles, equipment or other property.

Seat belts must be worn where available. Smoking is prohibited in vehicles unless the driver expressly permits it and local law allows it.

Luggage must be disclosed where the quantity or size may affect the required vehicle. TravelX is not responsible where the booked vehicle cannot accommodate luggage that was not disclosed in advance.

17. Independent suppliers

TravelX works with hotels, drivers, transport companies, guides, railway operators, airlines, restaurants, museums, guesthouses and other independent suppliers.

TravelX will select suppliers with reasonable care and remains responsible for its contractual obligations as required by applicable law.

Independent suppliers may apply their own rules concerning check-in, baggage, conduct, cancellation and use of facilities. Customers must comply with reasonable supplier rules communicated to them.

TravelX is not responsible for optional activities or services that customers purchase independently and that are not included in the TravelX booking confirmation.

18. Complaints and problems during travel

Customers should report any problem immediately to the TravelX representative, guide, driver or emergency contact so that TravelX has an opportunity to resolve it.

Where a problem cannot be resolved during the trip, a written complaint should be sent to info@travelx.uz as soon as reasonably possible and preferably within 14 days after completion of the service.

The complaint should include:

  • the booking name or reference;
  • the service date;
  • a description of the problem;
  • supporting photographs, receipts or documents; and
  • the requested resolution.

TravelX will investigate the complaint and respond within a reasonable period.

Failure to complain within 14 days does not remove any mandatory consumer rights but may make it more difficult to investigate the matter.

19. Refund processing

Approved refunds will normally be returned using the original payment method.

Processing time depends on the payment provider and receiving bank. TravelX is not responsible for delays caused by banks, card networks or payment processors after the refund has been submitted.

Payment-provider charges and currency-conversion differences may be deducted where they are not returned to TravelX and where deduction is permitted by law.

TravelX is not responsible for differences caused by exchange-rate changes between the payment and refund dates.

20. Liability

TravelX will provide confirmed services with reasonable care and skill and in accordance with applicable law.

Nothing in these Terms excludes or limits liability that cannot legally be excluded, including liability for fraud, deliberate misconduct or death or personal injury caused by negligence where applicable.

To the extent permitted by law, TravelX is not responsible for:

  • indirect or consequential loss;
  • loss of profit or business opportunity;
  • loss arising from inaccurate information supplied by the customer;
  • loss caused by the customer’s failure to follow instructions;
  • events outside TravelX’s reasonable control;
  • independently purchased services; or
  • loss recoverable under the customer’s travel insurance.

Where liability may lawfully be limited, TravelX’s total liability will not exceed the amount paid to TravelX for the affected service.

This limitation does not reduce any non-waivable rights available to consumers under applicable law.

21. Personal information

TravelX may collect and process information necessary to organise and deliver the booking, including:

  • names and contact details;
  • passport and travel-document information;
  • dates of birth and nationality;
  • accommodation and transport details;
  • dietary, accessibility or medical information voluntarily provided; and
  • payment and transaction information.

Information may be shared, where necessary, with hotels, transport providers, guides, ticketing companies, permit authorities, government bodies, payment processors and other suppliers involved in the booking.

Personal information will be handled in accordance with TravelX’s Privacy Policy and applicable personal-data law.

22. Website use and intellectual property

The TravelX name, logo, website design, tour descriptions, photographs, itineraries, graphics and other website materials are owned by TravelX or used with permission.

Customers may download or print booking documents for personal travel use.

Users must not attempt to disrupt the website, gain unauthorised access, introduce malicious software, make fraudulent bookings or use website content for unlawful purposes.

23. Website information and external links

TravelX makes reasonable efforts to keep website information accurate and current. However, prices, schedules, routes, entrance fees, opening times and availability may change.

The final confirmed itinerary, quotation or booking confirmation takes priority over general website information.

Links to external websites are provided for convenience. TravelX is not responsible for the content, availability, security or privacy practices of independent websites.

24. Electronic communications

By making a booking, the customer agrees that confirmations, vouchers, invoices, itinerary updates and important notices may be sent electronically by email, WhatsApp, Telegram, SMS or the relevant booking platform.

Electronic confirmations and accepted online Terms have the same effect as written communications to the extent permitted by law.

The customer must keep their contact information current and inform TravelX immediately of any change.

25. Governing law and disputes

These Terms and any contract with TravelX are governed by the laws of the Republic of Uzbekistan, unless mandatory law requires otherwise.

The parties will first attempt to resolve any dispute through good-faith communication.

Where an agreement cannot be reached, the dispute may be submitted to a competent consumer authority, mediation body or court in accordance with applicable law.

Nothing in these Terms removes a consumer’s right to apply to a competent state body or court or limits another mandatory protection available under applicable law.

26. Changes to these Terms

TravelX may update these Terms to reflect changes in services, payment methods, operational procedures or legal requirements.

The version applying to a booking is the version accepted when that booking was confirmed, unless a later change is required by law or expressly agreed with the customer.

27. Severability

If any provision of these Terms is found to be unlawful or unenforceable, that provision will be applied to the maximum extent permitted or removed where necessary.
